This guide explains how to share your Outlook calendar with others, add shared calendars, and publish a calendar for online viewing.
Share Your Calendar with Others

In the navigation pane, select Calendar.

On the Home tab, select Share Calendar. If you have multiple calendars, select the one you wish to share.

In the Enter an email address or contact name box, type the name or email address of the person you want to share with. If the name appears in a list, select it or press Enter.

After adding the person, select the drop-down list next to their name and choose the permission level:
- Can view when I'm busy: Allows them to see only your availability without item details.
- Can view titles and locations: Allows them to see your availability, plus the titles and locations of items.
- Can view all details: Allows them to see all details of your calendar events without the ability to make changes.

Once you have chosen the permission level, select Share. If you change your mind, select Remove to cancel sharing.
The recipient will receive an email invitation to view your calendar. Once accepted, they can add your calendar to their Outlook view.
Add Another Person's Calendar to Your View
If you are using a work or school account, you can add another person’s shared calendar to your own view:
- Ask the person to follow the steps above to share their calendar with you. After they have shared it, you can add it to your Outlook view.
Publish a Calendar
Publishing a calendar allows you to share it via a link for online viewing. You can choose between an HTML link for viewing in a browser or an ICS link for subscribing to the calendar.
- In the navigation pane, select Calendar.
- On the View tab in the ribbon, go to Calendar settings > Calendar > Shared calendars.
- Under Publish a calendar, select the calendar you want to publish and set the desired permissions.
- Click Publish. HTML and ICS links will appear below.
- Copy the HTML link if recipients will view the calendar in a browser, or copy the ICS link if they will subscribe to the calendar.
If you want to stop sharing, select Unpublish to remove the calendar’s public link.
